Welcome to SmartBeeApp. These Terms of Service (“Terms”) govern your access to and use of our website, admin panel, mobile applications, integrations, and related services available through https://smartbeeapp.com.
By registering for, accessing, or using the Services, you agree to be bound by these Terms. If you do not agree, you must not use the Services.
1. Eligibility and Authority
You may use the Services only if you have the legal capacity to enter into a binding agreement under applicable law.
If you use the Services on behalf of a company, organization, cooperative, or other legal entity, you represent and warrant that you have the authority to bind that entity to these Terms.
2. Description of the Services
SmartBeeApp provides digital tools for operational, administrative, and document management activities related to beekeeping, field operations, reporting, expenses, documents, and other related workflows made available through the platform.
The Services may include, without limitation:
- operational recordkeeping and reporting;
- document and file management;
- manual upload of invoices, receipts, images, and related documents;
- integrations with third-party email, storage, and accounting services;
- synchronization, viewing, downloading, and printing of documents stored within the platform.
We may modify, enhance, suspend, or discontinue any part of the Services at any time.
3. User Accounts
To access certain features, you may be required to create an account or be invited by an authorized administrator.
You are responsible for:
- maintaining the confidentiality of your login credentials;
- restricting unauthorized access to your account;
- providing accurate, complete, and current information;
- notifying us promptly of any suspected unauthorized use or security incident.
You are responsible for all activity occurring under your account, except as otherwise required by applicable law.
4. Third-Party Integrations
SmartBeeApp may allow you to connect third-party services, including email providers, cloud storage providers, and accounting platforms.
4.1 Email Integrations
If you choose to connect an email account to SmartBeeApp, you authorize SmartBeeApp to access only the information reasonably necessary to provide the functionality you enable, subject to the permissions you expressly grant during the authorization process.
For example, if you enable an email-based document management feature, SmartBeeApp may process relevant messages, metadata, and attachments in order to identify, store, organize, and display invoices, receipts, and similar documents within the Services.
You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.
4.2 Third-Party Services
Your use of third-party services is also subject to the terms, policies, and practices of those third parties. We are not responsible for third-party systems, availability, acts, omissions, or data handling practices.
We do not guarantee that any third-party integration will be uninterrupted, error-free, or continuously available.
5. User Content
You may upload, submit, store, or otherwise provide files, messages, metadata, records, images, documents, or other content through the Services (“User Content”).
You retain ownership of your User Content. However, you grant us a limited, non-exclusive, worldwide, royalty-free license to host, store, process, reproduce, transmit, display, and otherwise use your User Content solely as necessary to operate, maintain, secure, improve, and provide the Services to you.
You represent and warrant that:
- you own or have the necessary rights to submit the User Content;
- your User Content does not violate applicable law or infringe any third-party rights;
- your User Content does not contain unlawful, malicious, fraudulent, or harmful material.
6. Acceptable Use
You agree not to:
- SmartBeeApp is a document management and workflow tool and does not provide legal, accounting, tax, or audit advice;
- automated classification, extraction, or identification of documents may not always be accurate;
- you are responsible for reviewing the accuracy and completeness of stored documents and related records;
- some documents may require manual upload or manual correction if no attachment is available or if the source email contains only a download link.
